Your data, plainly explained

HuddlePace does not record audio or store transcripts. We only retain the timestamps and agenda modules needed to run your meeting timers.

1. Overview

HuddlePace ("HuddlePace", "we", "us") is a Slack app operated by tBeltty. This policy explains what data we collect when you install and use HuddlePace inside your Slack workspace, why we collect it, and how you can control it. Installing HuddlePace means you accept the practices described here.

2. Information We Collect

Slack workspace data. When your workspace admin installs HuddlePace via "Add to Slack" (OAuth v2), Slack shares the following with us, scoped to the permissions you approve:

  • Workspace/team ID and name, and the bot access token needed to post and update timer messages.
  • Channel IDs where a session is scheduled or a Huddle is detected, so Vector can post and update the tracking card.
  • User IDs of session organizers and assigned speakers, used only to verify who may start, transition, or conclude a session and to send them private DM reminders.
  • Agenda structure you enter yourself: module names, percentage allocations, and total meeting duration.

Support data. If you use the "Help" widget on this site or contact [email protected], we (via our support platform, the tBelt dashboard) collect the name, email address, and message content you choose to submit, solely to respond to your request.

Technical data. This website sets a single functional cookie (huddlepace_lang) to remember your language preference. We do not use advertising or cross-site tracking cookies.

3. What We Never Collect

HuddlePace does not request Huddle audio, does not record calls, does not generate transcripts, and does not read channel messages. We only process the slash commands and interactive buttons triggered directly by your team. This architectural constraint is built directly into our codebase.

4. How We Use Information

  • Operate core functionality: starting, tracking, and concluding timeboxed sessions, and posting progress updates to the right channel or thread.
  • Enforce role-gated controls, so only assigned speakers or organizers can control a session.
  • Generate the pacing reports and 30-day session history available to your workspace via /pace report and the App Home tab.
  • Respond to support requests submitted through the Help widget or by email.

We do not send any workspace data to third-party LLMs or paid AI APIs. HuddlePace has zero external AI dependency.

5. Who We Share Data With

We do not sell your data. We share the minimum necessary with:

  • Slack Technologies, LLC: the platform that transmits and receives our app's API calls. Slack's own privacy practices apply to your use of Slack itself.
  • tBelt Dashboard: our support ticketing platform (operated by tBeltty). When you submit a support request, the name, email, and message you provide are processed there so a human can reply to you.

6. Data Storage & Retention

Workspace and session data is stored in a self-hosted database (SQLite via Prisma) that HuddlePace operates directly. It is never shared with third-party data warehouses or analytics platforms. OAuth access tokens are stored encrypted at rest. Session and agenda records are retained to power your 30-day pacing reports; you can request earlier deletion at any time (see Section 8). Uninstalling HuddlePace revokes our access token immediately; we delete the associated workspace record within 30 days of uninstallation.

7. Security

All traffic between Slack and HuddlePace is verified using HMAC-SHA256 request signing. Each workspace's credentials are isolated from every other workspace (multi-tenant isolation), ensuring no workspace can access another's data, tokens, or session history.

8. Your Rights & Choices

You can uninstall HuddlePace from your Slack workspace at any time from Slack's App Management settings, which immediately revokes our access. To request a copy or deletion of your workspace's data ahead of the standard retention window, email [email protected] or use the Help widget on this site.

9. Children's Privacy

HuddlePace is a business productivity tool intended for use by Slack workspace members in a professional context. It is not directed at, and we do not knowingly collect data from, children under 16.

10. Changes to This Policy

We may update this policy as HuddlePace evolves. Material changes will be reflected by updating the "Last updated" date above. Continued use of HuddlePace after a change constitutes acceptance of the revised policy.
